When should I use this?
Use this guide when you need to introduce new pricing tiers, seasonal rates, or updated costs for your site's experiences.
Key Logic: Setting accurate validity dates ensures that pricing automatically switches over at the correct time, preventing booking discrepancies. Utilising the copy function can significantly reduce administrative setup time when pricing changes are minimal.
Before you start
Ensure you have administrative or financial management permissions within EMS.
Have your new pricing structure and effective date ranges ready.
Identify if there is an existing pricing structure you can copy to save time.
Log into EMS and navigate to the main Settings menu. From the Financials settings group, select Pricing. This will open your current pricing dashboard.
Click the + Add New button located at the top right of the screen to begin creating your new pricing matrix.
Select your specific location from the Site drop-down menu. Next, enter the calendar dates in the Valid From and Valid To fields. This ensures the pricing is only active during your specified seasonal or promotional window.
Select whether you want to Create Blank Structure or Copy From Existing Structure.
Important Notice: Creating a blank structure requires you to manually enter the price for every single experience. If you are only making a few adjustments to your current rates, choosing to copy from an existing structure is highly recommended as a baseline to save time.
If you opted to copy from an existing setup, select the specific Site and Structure you wish to duplicate from the respective drop-down menus. This will pull through all previous experience rates for you to edit.
Enter your desired prices for all listed experiences. The Type selection will default to Appointments, but you can change this via the drop-down to filter by Staff Appointments, Facilities, Group Activities, or other relevant categories to update all rates across your site. Please note: Ensure you save any changes made to prices before proceeding to the next page.
Review your entered rates to ensure accuracy, then click Save to apply the pricing structure to your system. Important reminder: Once 'Pricing' has been created, this can not be undone. You can edit the prices, but you can not change the dates, so please ensure you are certain you're making this for the correct dates before saving.
Best practice
Audit before saving: Double-check the Valid To date to ensure it does not accidentally overlap with or cut off another critical pricing season.
