EMS - Manage Experience Pricing

EMS - Manage Experience Pricing

⏱️ Estimated time: 3 minutes

👤 Role: Finance Manager, General Manager, System Administrator

What you'll learn

  • How to locate and access your active pricing structures.

  • How to edit existing prices across different operational bands (e.g., Off Peak, Standard, Peak).

  • How to switch between experience types to manage facilities and group activities.

When should I use this?

Use this guide when you need to update existing experience rates, fine-tune peak or off-peak pricing bands, or modify rates for specific facilities and activities without building a new structure from scratch.

Key Logic: Editing an existing structure modifies the live or scheduled rates directly. Ensuring you update all relevant 'Types' prevents pricing mismatches between different services like individual treatments and group activities.

Before you start

  • Ensure you have the necessary access rights to financial settings in EMS.

  • Have the updated rate sheets prepared for your various pricing bands (Off Peak, Peak, etc.).

Step 1: Navigate to Pricing Settings

Log into EMS and open the Settings menu. From the options on the left, locate the Financials group and select Pricing.

Step 2: Select the Pricing Structure to Edit

You will see a list of pricing structures displayed on the screen, automatically ordered by the date they become active. Locate the structure you need to modify and click Edit.

Step 3: Update Band Prices and Experience Types

Update the prices within the specific columns (such as Off Peak, Standard, or Peak) for each treatment you wish to amend. To update rates for services beyond standard treatments, use the Type drop-down menu to switch between categories like Facilities or Group Activities. Please note: Any changes made to each page of the Pricing must be saved before moving on to the next page.

Step 4: Save Your Amendments

Review your updated rates across all categories to ensure accuracy, then click Save to apply the changes.

Best practice

  • Check all bands: When changing a baseline rate, ensure that corresponding Peak and Off Peak rates are adjusted relative to it to maintain your intended profit margins.
