Packages are the best way to bundle your offerings—such as a "Spa Day" that includes a facility session, a treatment, and lunch—into one standard price.
Key Logic: Packages pre-define the options available to the booker (whether over the phone or online) to ensure a consistent guest experience and accurate revenue tracking.
Before creating a package, confirm:
Pre-requisite: You must have already configured your Capacity and Time Bands in the Resources section.
Analysis Codes: Confirm the correct financial code with your finance team.
Service Menu: Ensure all individual Experiences (treatments) that will be included in the package have already been created.
Click Settings in the navigation menu to open the Administration area.
Under the Experiences section, select Packages.
Click + Add New in the top right corner.
Name: Enter the name of the package (e.g. Indulgent Spa Day).
Description: Enter a detailed, enticing description. This is guest-facing on your Online Storefront.
Analysis Code: Select the relevant code for financial reporting.
Sites: Select the sites where this package will be available.
Save: Click Save to enable the configuration tabs.
Navigate to the Settings tab. If you are multi-site and the rules are identical, toggle Same Settings for all sites.
Dates: Set the Start Date (and an End Date if it is a limited-time offer).
Show Online: Tick this to make the package bookable via your website.
Duration: Enter the number of days the package covers (typically 1 for a standard spa day).
Max Guests: Set the maximum number of guests allowed per individual booking.
Hotel Integration: * Tick Hotel Inclusive if the package is part of a room rate and no extra money should be collected at the spa.
Enter a unique Package Code if you are linking this to a specific Hotel Rate.
Save: Click Save to confirm.
This section determines what the guest receives and the total price of the package.
Fixed Items: Click + Add Items to add a specific experience (e.g. Afternoon Tea) and assign its price within the package.
Guest Selections: Click + Add Selection to give the guest a choice (e.g. "Choose one 55-minute treatment"). Add all eligible experiences to this list.
Save: Click Save to lock in the package structure and pricing.
Navigate to the Availability tab to control when and how many packages can be sold.
Add Availability: Click + Add Availability and confirm the start date.
Booking Limits: Set the total number of these packages allowed per day of the week. You can set a lower Web Booking Limit to save space for phone bookings.
Capacity Bands: Click + Add Time Band. Select the relevant Start and End Times (arrival windows) for the package. You can add multiple arrival times if required.
Save: Click Save to commit.
Enticing Content: Use the description field to highlight the value of the bundle (e.g. "Save 20% compared to individual bookings").
Selection Logic: When using the Add Selection feature, ensure all treatments in that list have similar durations to avoid scheduling gaps in the diary.
Availability Checks: If a package is not appearing online, check that your Booking Limits for that specific day are not set to zero.
