EMS - Creating a Commission Profile

Before we start with Commission Profiles, just a heads up that there are three articles covering commissions in EMS. Together, they provide a complete guide to setting up commission structures from start to finish. They explain how to create Commission Categories (the different commission tiers or classifications), build Commission Profiles (the rules and calculation methods that determine how staff earn commission, including stepped and retroactive models), and create Commission Assignments, which link categories to profiles and apply them across appointments, packages, extras, and other revenue streams. Together, these processes enable businesses to automate commission calculations, maintain accurate financial reporting, and ensure staff are paid correctly based on their role and activities. What you'll learn

When should I use this?

Use this guide when you need to set up or change the commission structures for your staff members.

Key Logic: Commission profiles allow you to categorise and automate how commission is calculated for different job roles or tiers (e.g., Senior Therapists, Therapists). Setting these up correctly ensures accurate financial reporting and automated payroll calculations.

Before you start

  • Ensure you have administrative access levels to view and edit the Settings menu in EMS.

  • If you plan to copy an existing profile, make sure you know the exact name of the profile you want to duplicate.

  • Have your commission structure structure ready, including the specific targets and rates for your bands.

Step-by-step

1. Navigate to Settings

Log into your EMS dashboard. On the main navigation menu, click on the Settings button.

2. Open Commission Profiles

Within the settings menu, locate and click on Commission Profiles to open.

3. Add a new profile

Click on the Add New button to open the configuration form.

4. Enter the Profile Name

Fill in the Profile Name field with a clear, descriptive title that reflects the role (e.g., Senior Therapist).

5. Optional: Copy from an existing profile

If you want to copy an existing setup to save time, click on the Start From dropdown menu and select the relevant commission profile you would like to copy from.

6. Save the initial profile setup

Once you are happy with the name and template selection, click on the Save button. This creates the profile and unlocks the deeper configuration options.

7. Expand the commission category

Once you have clicked Save, you will see the pre-existing commission categories on the screen. Click on the plus (+) icon next to the relevant commission category to expand it.

8. Add your first commission band

Click on the Add first band button to begin defining your commission rules.

9. Configure your commission model

In this section, you will configure how your commission model calculates payouts. Depending on how you pay your staff members, you must choose between two distinct logic types:

  • Option A: Stepped Configuration

  • Option B: Retroactive Configuration

10. Save your commission bands

Once you have configured the relevant commission bands to work in the way that you would like them to, click the Save button. Your new commission profile is now successfully created and ready to be assigned to staff members within their individual settings.

Best practice

  • Standardise Naming Conventions: Keep your profile names consistent (e.g., always use [Role Tier] - [Department] like Senior Therapist - Spa) to keep your system organised as your team grows.

  • Verify Your Logic Types: Double-check whether you have selected Stepped or Retroactive, as applying the wrong model can significantly impact payroll calculations.
