EMS - How to book treatments in your Shared Rooms

When should I use this?

  • Use this procedure whenever a party of two requests simultaneous appointments in a dedicated shared space.

  • Key Logic: Correctly linking clients to both sides of a shared room within the same booking flow ensures both tables are assigned properly and prevents either side of the room from being mistakenly double-booked by another staff member.

Before you start

  • Ensure your shared rooms have already been paired and configured in system settings.

  • Confirm the required date, time, and specific treatment details for both guests.

Step-by-step

Step 1: Log into EMS and click Create Booking

Log into your EMS platform. From the main dashboard or navigation menu, click the Create Booking button to open the primary reservation screen.

Step 2: Choose the date of the treatments

Use the calendar picker to select the exact date requested by the clients for their dual appointment.

Step 3: Select the required treatment

Search for and select the treatment you wish to book for the guests, following your standard reservation process.

Step 4: Select the appointment time

Choose the desired start time for the appointments from the available time slots.

Step 5: Add both guests to the booking

Search for and select your first guest. Once selected, click Add Guest to add the second guest to the reservation.

Step 6: Click Schedule Guests

Click Schedule Guests to open the room allocation and schedule settings for both individuals.

Step 7: Assign clients to the appointments

Select the respective clients assigned to each appointment slot (e.g., Client 1 and Client 2).

On the room dropdown for the first client, select the primary side of the shared room (e.g., Room A). On the room dropdown for the second client, select the secondary side of the shared room (e.g., Room B). A blue box with a link icon will appear to confirm that the selected rooms are successfully paired. Click Confirm to lock in the allocation.



Step 9: Complete the reservation

Proceed through the remainder of the booking workflow (such as processing payments or adding notes) as you would for a standard appointment to complete the reservation.

Best practice

  • Verify Link Icon: Always look for the blue confirmation box with the link icon before clicking Confirm to ensure the room pairing logic has successfully registered in the system.

  • Guest Preferences: Double-check therapist assignments alongside room selections to ensure staff skills match both selected treatment types.
