EMS - How to configure your Shared Rooms (Couples Room)

What you'll learn

  • How to link two individual treatment rooms together to form a dual-occupancy shared room (couples room).

When should I use this?

  • Use this process when configuring a physical room split into two bookable stations (e.g., Room A and Room B) that can either operate as separate single treatment spaces or combine for couples' packages.

  • Key Logic: Correctly setting up shared room dependencies ensures the automated system locks out Room B whenever Room A is reserved for a couples session, preventing scheduling overlaps and protecting client privacy.

Before you start

  • Ensure you have administrative or operational permissions within EMS.

  • Confirm that both individual sides of the room are already created in your system setup. If you have not yet created these rooms, please refer to the guide on Creating New Rooms and name them clearly (e.g., Room A and Room B) before proceeding.

Step-by-step

Step 1: Log into EMS and navigate to Settings

Log into your EMS platform using your administrator details. From the main navigation menu, select Settings to open your system configuration options.

Step 2: Access the Rooms menu

Under the Resources section within Settings, click into Rooms. This section displays your complete list of physical treatment spaces and equipment.

Step 3: Open the primary room profile (Room A)

Locate and click into the first side of your couples setup (Room A). Select the Shared Rooms tab located within the room configuration window.

Step 4: Enable Shared Rooms

Turn the toggle on to Enable Shared Rooms. This unlocks the dependency settings required to pair two physical locations.

Click the Shared Room dropdown menu and select the secondary room profile (Room B). This establishes a formal connection between the two spaces.

Step 6: Configure booking availability rules

Review the can be booked separately setting. Ensure this toggle is turned On for Room A, but kept Off for Room B.

Warning: Allowing both Room A and Room B to be booked separately while shared rooms are enabled can result in two unrelated individual clients being booked into the same space at the same time.

Step 7: Verify configuration on Room B

Save your changes on Room A and navigate over to the Room B profile. Open the Shared Rooms tab to verify that Enable Shared Rooms is turned on by default and accurately reflects the link to Room A.

Best practice

  • Naming Conventions: Use clear, standardized room identifiers (such as Couples Suite 1A and Couples Suite 1B) so your reception and scheduling teams can quickly identify linked spaces on the master calendar.

  • Buffer Management: Set identical turnaround buffer times on both room profiles to allow therapists adequate time to reconfigure the space between single and dual appointments.
