This guide should be used when setting up a new point of sale (POS) terminal, back-office computer, or check-in desk that needs to access EMS.
Key Logic: Properly defining your workstations ensures that sales, stock depletion, and financial reporting are accurately mapped to the correct physical location and sales channel.
Ensure you have Administrator access level permissions within EMS.
Identify the exact name of the Sales Channel (the till configuration) this workstation will use.
Verify the correct Stock Room that this physical workstation will pull inventory from.
If using a physical card machine, have your payment terminal details ready.
Log into the EMS platform. On the main navigation menu, click Settings. Under the System heading, select Workstations.
In the top-right corner of the workstation management screen, click Add Workstation to open the creation form.
Fill in the core workstation parameters to establish its identity:
Name: Give your workstation a clear, recognisable name (e.g., "Main Reception Desk 1").
Site: Select the relevant physical site where this workstation is located.
Sales Channel: Select the specific sales channel (the till configuration) you want transactions to be processed on.
Stock Room: Select the relevant stock room that this workstation will pull inventory from when processing physical sales.
If this workstation requires a physical receipt printer to be attached:
Select the relevant Receipt Type from the dropdown menu.
Input the exact Driver Name for your connected printing hardware.
Select the number of physical Copies you want to print automatically after each transaction.
Determine how this workstation will process card payments. Tick the relevant checkbox to enable either a Journey Pay Chip and Pin Device or a Virtual Terminal.
Important Notice: Only select one primary payment method per workstation configuration to prevent transaction routing conflicts.
Review all entered details to ensure accuracy, then click Save. Your new workstation is now created and ready for use.
Managing Workstations: You can easily update your setups at any time. From the main Workstations screen, click on any existing workstation to edit its details. This is where you can update printer behaviour, swap sales channels, or toggle a workstation to Inactive if it is temporarily or permanently out of use.
