When should I use this?

Use this guide when you are setting up a new point of sale (POS) location, adding an extra till to your premises, or configuring a new revenue stream that requires separate transaction tracking.

Key Logic: Sales Channels (historically referred to as "Tills" within the platform) act as the financial gateway for your transactions. Properly configuring them ensures that revenue is routed to the correct site and that card payments are processed securely through the correct merchant account.

Before you start

  • Ensure you have administrative permissions in EMS.

  • Identify the exact site name this Sales Channel will be assigned to.

  • Retrieve your Journey Pay Merchant ID if you plan to process card payments.

Step-by-step

Step 1: Navigate to Sales Channels

Log into EMS and click Settings on the main navigation menu. Under the System heading, click Sales Channels.

Step 2: Add a new Sales Channel

In the top-right corner of the screen, click the Add Sales Channel button to open the creation form.

Step 3: Enter the Sales Channel name

Type in a clear, recognisable name for your new Sales Channel (e.g., "Spa Reception Till 1").

Key Logic: This name will be visible in reports and transaction logs, so using a consistent naming convention across your sites is highly recommended.

Step 4: Assign the site

Select the relevant physical site that this new Sales Channel belongs to from the dropdown menu. This ensures financial reporting is mapped to the correct business location.

Step 5: Configure your Merchant ID

Enter your unique Merchant ID in the designated field.

Important Notice: This ID is mandatory if you are using Journey Pay to process transactions on this channel. If you do not have this ID or are unsure where to find it, please reach out for assistance. Step 6: Save your settings

Review all the details you have entered to ensure they are correct, then click Save. Your new Sales Channel is now created and ready to be linked to a workstation.

Best practice

  • Modifying Sales Channels: If you ever need to make changes, you can click directly into any existing entry on the main Sales Channels screen. From here, you can also toggle a channel's status to inactive if a till is decommissioned or temporarily out of service.

  • Name changes: We strongly recommend avoiding changing the name of an active Sales Channel unless it is absolutely necessary, as this can make historical financial audit trails more difficult to reconcile.
