You’ll configure your printer settings to use “Print to PDF” instead of a physical printer. This ensures that every time a receipt is printed, it’s automatically saved as a PDF file that you can then attach to an email and send to your client.


Step-by-Step Instructions

If using Cloud:

  1. Go to Manager > General Menu > PC Locations.

  2. Select the relevant PC from the list at the bottom of the screen.

  3. Set the Printer Type to A4.

  4. Next to the Printer Driver box, click the Select button (small box with three dots).

  5. Choose Print to PDF as the printer option.

  6. When you print a receipt, a PDF file will be saved — you can then email this to the guest.

If using Local:

  1. In Windows, set your default printer to Microsoft Print to PDF (you may need IT assistance).

  2. In Manager > General Menu > PC Locations, select the relevant PC from the list.

  3. Set the Printer Type to A4.

  4. Next to the Printer Driver box, click the Select button (small box with three dots).

  5. Choose Print to PDF as the printer option.

  6. When you print a receipt, a PDF file will be saved — you can then email this to the guest.


🧠 Important Note
Ensure the file save location for the PDF is easily accessible (e.g., Desktop or a dedicated “Receipts” folder). This will make it quicker to locate and email receipts. If the option “Print to PDF” doesn’t appear, contact your IT team or Support to confirm the printer driver is installed correctly.
