EMS - Capacity (Time Band) Allocation

EMS - Capacity (Time Band) Allocation

⏱️ Estimated time: 5 minutes

👤 Role: System Administrator / Spa Manager

What you'll learn

  • How to configure capacity (time band) allocations for packages within EMS.

  • How to prevent package duplication on bookings when scheduling treatments outside a primary time slot.

When should I use this?

Use this guide when creating new packages and assigning their availability or when troubleshooting issue reports where packages automatically duplicate themselves on booking records.

Key Logic:

In legacy setups, packages were frequently assigned multiple individual capacity (time bands) throughout the day. In EMS, assigning multiple separate capacity (time bands) causes the system to view each additional time slot as a separate booking requirement. When a treatment is scheduled outside the original capacity (time band), EMS automatically duplicates the package on the reservation to accommodate the extra window. This is expected system behaviour.

To prevent duplication while maintaining full scheduling flexibility, EMS requires a single continuous capacity (time band) allocation that covers the full period during which the package can be booked.

Before you start

  • Ensure you have user access to administrative Package Availability settings in EMS.

  • Identify the full daily operational window required for package availability (e.g. 8:00am to 9:30pm).

Step-by-step

1. Open the package settings

Navigate to Package Availability in EMS and select the package you need to update.

2. Remove individual capacity (time band) allocations

Locate the existing Capacity (Time Band) assignments. Remove all multiple individual capacity (time band) entries currently allocated to the package.

Warning: Retaining multiple individual capacity (time bands) will trigger expected system behaviour where EMS duplicates the package on a reservation when scheduling treatments across different time slots.

3. Add a single continuous capacity (time band) allocation

Add a single capacity (time band) entry that spans the entire period the package can be booked. Set the start time to cover the earliest booking slot (e.g. 8:00am) and the end time for the latest slot (e.g. 9:30pm).

4. Save and verify your changes

Click Save. Test the configuration on a single booking by scheduling a treatment outside the default time window to confirm that package duplication no longer occurs.

Best practice

  • Update incrementally: Apply and verify this change on a single package first before amending your remaining packages across the system.
