How to add a guest to a scheduled class or wellness activity

Use this guide when a guest wishes to join a group-based session such as a fitness class, thermal access slot, or a communal wellness activity.
Key Logic: Activity bookings are made into pre-scheduled sessions on your timetable. Before starting, ensure you have confirmed the specific date the guest wishes to attend.
Before creating an activity booking, confirm:
The guest's name and contact details.
The specific activity and time slot required.
If the guest has any medical conditions that may restrict their participation (the system will alert you to these during the booking process).
On the calendar view, click + Create Booking in the top right corner of the screen.
Select the required Arrival and Departure dates for the guest.
Under the Experiences section, filter the type to Class or Activity. This will narrow down the list to only show group-based sessions.
Select the specific activity you wish to book and click Check Availability.
If your guest is staying for multiple dates, navigate to the specific date the activity occurs on and select the required Time Slot from the available list.
Enter the guest's name into the schedule. If there is sufficient capacity remaining on the activity, you can add multiple guests to the same slot if required. Click Confirm to lock in the schedule.
Once you have scheduled all required sessions, proceed to Confirm the booking. If a payment is due at this stage, the system will direct you to the EPOS screen to process the transaction.
Capacity Awareness: The system will prevent you from overbooking a session. If a class is full, you may need to check the Waiting List options (if configured).
Medical Alerts: Pay close attention to any medical warnings that appear when a guest is assigned to an activity to ensure their safety.
Arrival Times: Remind guests to arrive at least 5–10 minutes before the activity start time to ensure a prompt start for the whole group.
