EMS - Creating New Activities

When should I use this?

Activities are used to set up group-based sessions where multiple guests join the same experience at the same time.

  • Examples may include: Spa Thermal Access, Fitness Classes, Wellness Sessions, or Spa Dining.

  • Key Logic: Unlike individual appointments, activities are designed for multi-guest capacity and are scheduled into specific facilities.

Before you start

Before creating a new activity, confirm:

  • The Experience Category and Analysis Code have been set up in the Administration area.

  • You have confirmed the correct financial reporting codes with your finance team.

  • You have identified which medical conditions should trigger a warning or a denial for this specific activity.

Step-by-step: Creating an Activity

1. Open the Administration panel

Click Settings in the navigation menu to open the Administration area.

2. Navigate to Activities

Under the Experiences section, select Activity from the available options.

3. Add a new Activity

Click + Add New in the top right corner of the screen.

4. Enter the Activity Name

Give your activity a clear name (e.g. Morning Yoga Flow or Thermal Suite Access).

5. Select the Category

Select the relevant Category. This helps the team filter activities efficiently during the booking flow.

6. Assign the Analysis Code

Select the relevant Analysis Code. If you are unsure which code to use, please check with your finance department.

7. Set Gender Specifications

Select if the activity is Gender Specific or available to all guests.

8. Select Sites

If you are a Multi-Site business, select all the required Sites where this activity will be offered.

9. Save the Activity

Click Save to create the activity. You can now complete the site-specific configurations.

10. Configure Online Settings

Click the Settings tab at the top of the activity page. If you want the activity to be bookable by guests through your website, tick Show Online.

11. Add Medical Restrictions

Click the Restrictions tab at the top of the page.

12. Apply Warnings and Denials

Expand your Site and select any relevant medical warnings or denies as required. Click Save to commit these safety restrictions.

Best practice

  • Clear Categorisation: Grouping activities like "Fitness" or "Spa" accurately ensures the front-of-house team can find and book sessions quickly.

  • Online Descriptions: If showing online, ensure the activity name is engaging and clear for the guest.

  • Safety First: Always review medical restrictions thoroughly, especially for high-intensity fitness classes or thermal experiences.
