When should I use this?

Use this guide when you need to link financial or tracking allocation codes to specific items within Premier. This ensures that accurate reporting data is captured whenever a client books an Appointment, Facility Appointment, Group Activity Code, Food & Drink item, or Miscellaneous charge.

Key Logic: Allocation codes map your revenue streams accurately behind the scenes. Without assigning these codes correctly it cause an error such as This bill was not processed. Input string was not in the correct format (43 ms, Exception Code:1)

Before you start

  • Ensure you have administrative login credentials for Premier Configuration / Manager.

  • Have the correct allocation code ready to hand.

  • Ensure you can perform a quick restart of the Reception application, ideally during a quiet period so as not to disrupt active guest check-ins.

Step-by-step

1. Navigate to your desired booking type

Log into Premier Configuration / Manager. From the main menu, navigate to and click on the specific Booking Type you want to update. This applies to Appointments, Packages, Facility Appointments, Group Activity Codes, Food & Drink, or Miscellaneous items.

2. Access the site details

Once you have selected the specific item or booking type you wish to modify, locate and click on the Site Details field or tab.

Key Logic: Opening Site Details ensures the allocation code is applied correctly to the specific site operation, rather than just acting as a generic, unlinked template.

3. Input the allocation code

Locate the Allocation Code field within the site details screen. Carefully type or paste your specific code into this field. Once entered, click Save or exit the screen to commit the changes.

4. Restart the Reception application

To ensure the changes take effect and the system pulls through the new configuration, completely close down and restart your Reception application.

  • Double-Check Before Saving: Always verify the allocation code character-for-character against your accounts ledger before restarting the system to avoid tracking errors.
