How to update equipment quantities
How to manage equipment maintenance and availability exceptions
Use this guide if you have a scenario where equipment is taken out of action due to servicing, damage, or temporary maintenance.
Important Notice: Reducing equipment quantity will immediately impact booking capacity. Ensure you check the diary for any existing bookings that may rely on the units you are removing.
Navigate to Settings → Equipment and select the relevant equipment type from the list.
Click Settings on the equipment line, then select your Site to open the specific availability configuration.
Click + Add Exception to account for equipment that is out of service for a specific period.
Enter the Date From and Date To for the maintenance or servicing period.
Enter the Reduced Quantity available during that specific date range.
Click Save to commit changes. The system will automatically adjust booking capacity for those dates.
If you have permanently gained or lost equipment, simply update the Quantity field and click Save.
Immediate Updates: Always update exceptions as soon as equipment is damaged to avoid manual rebooking of clients.
Maintenance Logs: Keep a record of why exceptions were created (e.g., "Hot stone heater 2 - annual service").
