How to assign duration, pricing, and analysis codes to your packages.
How to edit and manage existing courses.
When should I use this?
Use this guide when you need to package single or multiple experiences together into a course bundle (for example, a package of 6 sessions or a flexible choice of activities). Key Logic: Assigning correct item prices during setup ensures that EMS automatically calculates the total package cost accurately for sales reporting.
Before you start
Ensure you have administrative access to the EMS Settings menu.
Confirm that all individual experiences included in the course have already been created in the system.
Have your finance Analysis Code details ready.
Log into EMS and go to Settings. Under the Experiences category, click Courses
Press Add Course. Enter a Name for the course, then select the Analysis Code you would like the sale of this course to be associated with.
Expand the tab for your site to begin configuring your package.
Set the package to Active via the toggle if you want it to be available immediately.
If you require a different display name for the course at site level, enter it in the Alternative Name field.
(Optional) Configure the Start Date and End Date to define the specific sales period for the course.
(Optional) Enter the number of Loyalty Points awarded upon purchase, or the number required to purchase the course using points.
Set the Duration by entering the number of months the course remains valid for (i.e., how long the customer has to redeem the included items).
Set up the experiences included within your course bundle using the appropriate option below:
Option A (Single Choice): If your course consists of multiple redemptions of a single experience (e.g., 6 of the same session), select Single Choice under Item 1. Choose the specific experience from the dropdown menu, enter the number of Sessions, and specify the individual Item Price.
Option B (Multiple Choice): If your course allows the customer to choose from a selection of different experiences, select Multiple Choice and tick all the relevant experiences that should be available within the course.
If you need to include additional, distinct groups of experiences within the same course, click Add Course Item and repeat the configuration process you just did for item 1.
Important Notice: Entering the price for each individual item automatically calculates and generates the overall total price for the course.
To update or edit an existing course, navigate to Settings > Courses, find the relevant course, and click Edit. Make the required changes to the setup and save your updates.
Best Practice
Double-check Analysis Codes: Always verify that the correct Analysis Code is selected before making a course active to prevent incorrect revenue allocation in financial reporting.
Define Expiry Clear Terms: Clearly communicate the course Duration setting to customers, as this dictates the exact period during which the sessions must be redeemed.
