When should I use this?

While your retail store is typically configured during the initial implementation phase, you should use this guide if your business requirements change. This includes expanding your retail reach to international guests or refining your stock control processes by adding specific reasons for inventory changes.

  • Key Logic: These settings apply globally across your retail operations and affect how data is presented at the Point of Sale (POS) and within inventory reports.

Before you start

Before making changes to the store setup, confirm:

  • Currency: You have confirmed which additional currencies your business is authorised to accept.

  • Audit Requirements: You have consulted with your inventory or finance manager regarding the specific reasons required for stock adjustments (e.g. "Damaged Goods," "Staff Uniform," or "Promotional Giveaway").

Step-by-step: Managing Store Setup

1. Open the Administration panel

Click Settings in the navigation menu to open the Administration area.

2. Navigate to Store Setup

Under the Retail section, select Store Setup from the available administration options.

3. Manage Languages

Add or remove any Languages that should be available within your retail system. This ensures that guest-facing elements or staff interfaces can be toggled to the appropriate language where applicable.

4. Manage Currencies

Add or remove Currencies as required for your business operations.

Note: Your system’s Default Currency is locked and cannot be removed, as it serves as the base for all financial reporting.

5. Customise Stock Adjustment Reasons

Stock adjustment reasons are vital for tracking why inventory levels have been manually changed outside of a sale.

  • Add Reasons: Enter new categories to provide more granular detail in your stock audits (e.g. "Expiry Date Reached").

  • Remove Reasons: Delete any obsolete reasons to keep your staff selection menus tidy.

6. Commit Changes

Ensure you click Update Store at the bottom of the page. Changes will not take effect until this button is pressed, at which point the updates will be live across your retail modules.

  • Standardisation: Use clear, professional terminology for stock adjustment reasons to ensure that anyone reviewing an inventory report can understand the cause of a stock change.

  • Currency Fluctuations: If you accept multiple currencies, ensure your exchange rates are reviewed regularly in the relevant financial settings (if applicable).
