When should I use this?
Use this guide when setting up your EMS Membership Portal for the first time or when updating your portal's branding, policies, or purchasing permissions.
Before you start
Ensure you have administrator access to the EMS platform.
Prepare your brand hex codes for primary and secondary colours, along with your preferred font choices.
Have your specific portal logo file ready if it differs from your primary site branding.
Ensure your Terms & Conditions and Privacy & Cookie Policy text are finalised.
Step-by-step
Log into EMS and navigate to Settings. Under the Memberships section in the main menu, click Portal.
In the Settings tab, enter your hotel name in the Portal URL field.
Key Logic: Whatever you enter here forms the prefix of your customer-facing portal link (e.g., yourhotel.members.journey.travel). Ensure this is accurate and matches your brand standard before saving.
Next, manage your purchase settings:
Enable online purchases: Toggle this option on if you want to allow customers to purchase a membership directly through the portal for your property.
Disable online purchases: Leave this option disabled if you only want existing members to log in and view their current bookings.
Navigate to the Content tab. Enter or paste your legal details into the provided fields:

Privacy & Cookie Policy
Key Logic: Adding these directly ensures your portal remains legally compliant and transparent for members during sign-up and portal navigation.
Navigate to the Appearance tab to align the portal with your property's visual identity:
Customise your Primary Brand Colour and Secondary Brand Colour.
Select your preferred Heading Font and Body Font.
Upload a dedicated portal logo if you wish to use a different logo from the standard branding configured in Settings > Sites.
Best practice
Double-Check URL Names: Choose a short, recognizable portal URL prefix, as changing this later can break links sent to existing members.
Test the Member Experience: After saving your changes, visit the newly generated URL in an incognito browser window to ensure the portal purchasing flow and branding look correct.
