How to connect to Stripe (payment gateway)

How to Connect to Stripe (Payment Gateway)

⏱ Estimated time: 10 minutes

👤 Role: Finance Managers, General Managers, Ecommerce Administrators

What you'll learn:

  • The role of Stripe as your integrated payment gateway.

  • How to link an existing Stripe account or create a new one.

  • The essential verification steps required to begin processing payments.

  • Best practices for managing Stripe account access within your team.

When should I use this?

This process is a mandatory part of your initial platform onboarding. You must connect a Stripe account to enable your storefront to securely capture guest payments for rooms, spa bookings, and retail orders.

Key Logic:

Stripe acts as the "bridge" between your guest's credit card and your bank account. Without a verified connection, the platform cannot process transactions, and your products will remain unavailable for purchase on the storefront.

Before you start:

  • Ensure you have the legal and financial details of your company (e.g., VAT number, Company Registration).

  • Have your banking details ready for payout configuration.

  • If you are an existing Stripe user, ensure you have your login credentials and access to your two-factor authentication (2FA) device.

Step-by-step:

1. Initiate the Connection

The connection process begins directly from your Ecommerce dashboard.

  1. Log in to the Ecommerce platform admin at https://admin.onejourney.travel/.

  2. On your main Dashboard, locate the status block for the Payment Gateway.

  3. Click the Connect Stripe Account button.

  4. You will be automatically redirected to Stripe’s secure hosted connection page.

2. Configure Your Stripe Account

You can either link what you already have or start fresh.

  • Option A: Existing Stripe Users: * Enter the email address associated with your current Stripe account.

  • Log in and select the specific "Account" or "Property" you wish to link.

  • Option B: New Stripe Users: * Enter the email address you wish to use for this account.

  • Note: Stripe typically requires a unique email per account.

  • Follow the on-screen prompts to enter your company information.

3. Verify Your Identity

Stripe is a regulated financial service and requires proof of identity to prevent fraud.

  1. Complete the identity verification steps as prompted (this may involve uploading a photo of a Director's ID or proof of address).

  2. Crucial: Stripe will not allow you to take live payments until this verification is complete.

  3. Once finished, you will be automatically redirected back to the Ecommerce platform.

  4. Verify that the dashboard status now shows as Connected.

4. Test the Integration

To ensure the "handshake" between the platform and Stripe is working, you should perform a live test.

  1. Navigate to your storefront.

  2. Attempt to place a low-value order (e.g., a small retail item or a test voucher).

  3. Confirm the payment flows through to your Stripe dashboard successfully.

Best practice:

Multi-User Access: Ensure at least two or three trusted members of your finance or management team have administrative access to your Stripe dashboard. If the sole account holder leaves the business, regaining access via Stripe Support can take several days, during which you may be unable to action refunds or update bank details.

Important Notice:

Ongoing Verification: Stripe periodically requires "Re-verification" of documentation to remain compliant with financial regulations. Monitor your Stripe dashboard regularly; if these requests are ignored, Stripe may temporarily suspend your ability to take payments, which will cause your Ecommerce storefront to stop processing orders.
