⏱ Estimated time: 2–3 minutes
👤 Role: Admin / Management / Operations

What you'll learn

  • How to create new medical restriction categories

  • How to phrase guest-facing health questions

  • How to update existing medical intake requirements

When should I use this?

This guide is essential for setting up the health and safety framework of your business. Medical restrictions allow you to flag specific health conditions on guest intake forms, ensuring that treatments are only performed when it is safe to do so.

  • Key Logic: Once a restriction is created here, it becomes available to be linked to your Experiences and Activities. When a guest identifies a condition on their medical form, the system will check these rules to trigger warnings or booking denials.

Before you start

Before creating a new restriction, confirm:

  • The exact phrasing of the question you wish to ask the guest.

  • Whether the question is "Mandatory," meaning the guest cannot complete their digital intake form without providing an answer.

Step-by-step: Creating and Managing Restrictions

1. Open the Administration panel

Click Settings in the navigation menu to open the Administration area.

2. Navigate to Medical Restrictions

Under the Resources section, select Medical Restrictions from the available options.

Creating a New Restriction

3. Add a New Restriction

Click + Add New in the top right corner.

4. Define the Restriction Details

  • Name: Give your restriction a clear internal name (e.g. Asthma, Pregnancy, or Heart Condition).

  • Question: Enter the specific question for the guest (e.g. "Do you suffer from Asthma?" or "Are you currently pregnant?"). This text will appear on the digital intake form.

  • Mandatory: Toggle this to Yes if the guest must answer this question to proceed.

5. Save the Restriction

Click Save to confirm. This medical restriction is now live in the system and ready to be allocated to your services.

Updating an Existing Restriction

6. Select the Restriction

In the Medical Restrictions list, click on the specific item you wish to edit.

7. Amend and Save

  • Make the required changes to the Name, Question, or Mandatory status.

  • Click Save. Updates will take effect immediately on all future digital intake forms.

Best practice

  • Clear Phrasing: Ensure questions are simple and easy for guests to understand to avoid confusion during the check-in process.

  • Linking to Services: Remember that creating the restriction is only the first step. You must now navigate to your Experiences or Activities settings to define whether this specific condition should trigger a "Warning" or a "Deny" for that treatment.

  • Mandatory Questions: Only mark essential health questions as mandatory to keep the guest journey as smooth as possible.
