Appointment Book provides the functionality to view, amend and book appointments
This article provides details of the screen layout and available features

In “Reception” click onto “Appointment Booking”


Appointment Book Screen


Icon Menu
  1. “Arrivals” - this enables you to arrive a client from the diary view screen
  2. “Membership Arrivals” - this enables you to arrive a member from the diary view screen
  3. “Bill / Depart” - this enables you to depart a client and bill for treatments / retail and any other items required
  4. “Client / Member Sale” - this enables you add items to a clients bill directly from the diary view screen 
  5. “Till Sale” - this enables you to charge clients for items without allocating them to a specific client
  6. “Treatment Waiting List” - if an appointment time or therapist is fully booked you are able to access the waiting list from the diary view
  7. “Appointment Search” - access the appointment search screen from the diary view
  8. “Clients” - access to the client card
  9. "Reservations" - this provides direct access to the reservations search from the diary view

Calendar 
  1. “Appointment Book Date” - change the day by selecting a date in the calendar
  2. "Appointment Book Month" - change the month by selecting the arrows located at the side of the calendar the < moves the month backwards and the > moves the month forwards
  3. Appointment Book Today - Click on Today’s date and it will automatically take you back to the current day

Clipboard
  1. “Clipboard” - allows you to transfer appointments from one day to another or from one staff column to another
  2. Clipboard items - display the original details of the booking (appointment type, staff, facility, room, time and date)

Navigation Bar
  1. “Print” - the diary view page
  2. “Refresh Button” click onto this button to refresh your screen
  3. “Previous Week” - this will take you to the previous week on the diary
  4. “Previous Day” - this will take you to the previous day on the diary
  5. “Today” - click on this at any time and it will take you back to today’s date
  6. “Next Day” - this will take you to the next day on the diary
  7. “Next Week” - this will take you to the following week on the diary

Show Not Available
  1. Yes - will display all columns including those closed out or not available
  2. No - will only show the active columns for the date selected

Filter
  1. “Region” - filters the available site list to the selected region
  2. “Site” - ability to select a different site to view and make bookings
  3. “Selection” gives you the ability to select different appoint views
    1. "All" - displays all columns available on the date selected
    2. “Staff Only” - displays all staff available on the date selected
    3. “Room Only”, - displays the available rooms
    4. “Facilities Only” - displays the available facility columns
    5. “Pre-Selections” - provides a list of predetermined views - see Appointment Pre-Selections
    6. “Selection” - the ability to select a combination of the above 


Appointment Summary Screen


Summary Row
The boxes located along the top are for reference only and detail the details of the booking
  1. "Date" - date selected
  2. "Time" - selected time
  3. "Staff Member" - column selected
  4. "Appointment" - the current selected appointment type
  5. "Room / Facility" - the selected resource
  6. "Length" - duration of the appointment

Appointment Tab
  1. "Categories" - the dropdown list enables you to filter the appointments that are displayed
  2. "Length" - ability to change the default duration of the selected appointment
  3. "Appointment list" - list the appointment types which are valid to be booked with the selected member of staff
  4. "Rooms" - displays the rooms which are available and capable of being booked
  5. "Notes" - ability to add notes relevant to the booking
  6. "Description" - full description of the appointment
  7. "Cannot Book Reasons" - reason a appointments cannot be booked
  8. “Medical Conditions” - Any medical contraindication as a “Warn” or “Deny”
