Best practices for maintaining your online storefront details
Use this guide to update experiences that do not require a staff member, such as Afternoon Tea or Thermal Suite access. This includes adjusting durations, prices, or the specific areas where the experience takes place.
Key Logic: Updates made here will apply to all future bookings. Any bookings already sitting in the diary prior to these changes will retain their original settings (such as the price at the time of booking).
Before amending a facility experience, confirm:
Naming Policy: It is not recommended to rename an experience once it has been in use. If the service is changing significantly, it is better to create a new one and make the old one inactive.
Online impact: Changes to descriptions and pricing are guest-facing and will need to be updated on your Storefront via Ecommerce Admin.
Click Settings in the navigation menu to open the Administration area.
Select Appointments from the list of available administration options.
Locate the experience you wish to amend using the search box or filters to narrow down the results.
Name: Update the name if required (note the recommendation in "Before you start").
Description: Update the text to ensure the explanation remains detailed and accurate for online customers.
Length: Update the duration of the experience in minutes.
Category/Analysis Code: Update these if you have restructured your reporting or menu groupings.
Sites: If you now offer this service at additional sites, tick the relevant properties to enable it there.
Note: The Interval and Appointment Type cannot be changed once the experience has been created.
Click Save to update the primary experience record.
Settings: If multi-site, use the "Same Settings for all sites" toggle if applicable. Update the "Show Online" status and check that Tax options are correct for financial reporting.
Pricing: Update the rates. If you do not use Peak/Off-Peak pricing, ensure the standard price is entered into all three fields.
Facilities: Tick the site to add all facilities, or click + to individually select the specific areas where this experience can be completed. Click Save.
Restrictions: Under the site options, update any Medical Restrictions relevant to the experience.
Click Save to commit all updates. Your experience is now updated and ready to be booked with the new parameters.
Storefront Audit: It is best practice to log into your Ecommerce platform after saving to ensure the changes are displaying correctly on your guest-facing storefront.
Capacity Checks: If you increase the length of a facility experience, ensure your facility capacity can still accommodate your expected volume of guests.
