The Lessons Menu is the most important aspect of the booking system, since it controls what appointments can be booked and when.
There are three separate buttons within the Lessons Menu, each described in more detail later in this document:
This button is used to create all of the different lesson descriptions. Lesson types are typically used to describe the type of services available within a class.
This is the most important element of your College by Premier Booking System. It is here where the class size, start times, end times, start date, end date and bookable appointment types are defined, together with Lecturer and Classroom.
This button is especially useful for making one-off changes to a class, for example decreasing the class size on a specific date. Classes can also be suspended by using this feature.
Creating Lesson Types
· Click on the Lessons Menu button, then click on the Lesson Types button
· Click the green plus button to create a new Lesson Type
· Input a code and description. There is an eight character limit for the code

Lesson Timetables
· Click on the Lesson Timetables button
· Click the green plus button to create a new Lesson Timetable entry
· Select the appropriate Qualification Code from the list, the description will be populated automatically
· Select the appropriate Lesson Code from the list, the description will be populated automatically
· Select the relevant day. Please note that the default selection is Monday
Choose the lesson Start Time, and the lesson End Time. The start time should be the earliest appointment time (ie, if the lesson begins at 9am but 30 minutes is required to set up the room then the start time would be 9:30am)
· Input the appropriate number of bookable columns (usually determined by class size or available couches/stations)
Select the Lecturer
Select the Classroom
· Select the pre-defined Academic term or manually specify the Start and End dates. Please note that if you select a pre-defined Academic Term you will not be able to amend the start
or end date. The example below shows manually inputted dates, in this example the session would be available every week until the end of the academic year. Please see the Business Closure section at the end of this article for instructions on suspending all sessions when the college is closed.
· Allocate the services/treatments to the class by selecting the treatment in the “Unallocated” list and clicking the single arrow pointing to the right. The treatment will then be moved across to the “Allocated” list. Double-clicking the service/treatment will have the same effect as clicking the arrow.
Click the green tick to save
Once saved, it is possible to limit the number of specific services available in the class. The example below shows that the Level 3 Ombre/balayage has been limited to two per session. This limitation will be applied for all sessions between the Start and End Dates. Specific amendments applicable to one specific session can be made under the Lesson Timetable Amendments button.
If the Maximum Number Of Appointments is left at zero then there is no restriction.
Copy Timetable
This feature allows you to copy the timetable, for example if the same session is also available on a different day; or if the same session is also running later in the year. During the copying process you can make changes to the new session as appropriate.
Select the session that you wish to copy, and then press the Copy Timetable button.
Make the required changes applicable to the new session. Your options include changing the Qualification Code, Lesson Code, Start Time, End Time, Number of Columns, Lecturer, Classroom and the session Start and End dates.
Click on the Green Tick to save.
Once saved you can make changes to the available services including allocating more services, de-allocating services that you do not want to be included in the session, and you can
also use the Maximum Number Of Appointments feature to limit specific services.
Lesson Timetable Amendments
· Click on the Lesson Timetable Amendments button
This feature is used to make amendments to a specific lesson, for a specific date. If the amendment should also be applied to all future occurrences of the lesson then the changes should be made through the Lesson Timetables button.
· Select the day and date for which the amendment should be applied

Apply the appropriate change, your options are:
Amend the Start/End time
Amend the number of bookable columns
Change the Lecturer
Change the Classroom
Add/Remove allocated Appointment Types
Limit the number of specific services for this particular session
Suspend the class (please note that when a class is “Suspended” it is still visible within this screen albeit with a line through it, but will not be visible in the Class Booking screen)
Business Closure
The Business Closure function is used to close sessions during the holiday periods.
If you have set up sessions using Academic Terms then you would not typically need to use this function.
If you have set up sessions in your Lesson Timetable for dates that run through the holiday periods use this function to suspend all sessions that fall within the holiday dates.
Click on the Business Closure button.
Select the Date From and Date To.
Select the relevant Internal Appointment Code (if you have not configured any other Internal Appointment Codes then the only available code will be National Holiday).
Thick the box next to Suspend Lessons.
Press the Green Tick to save.
You will be presented with a confirmation message, select Yes to continue.
In the Lesson Timetable Amendments screen you will see that the sessions are still visible, but the have a line through them indicating that the sessions are suspended. This is for information only.
