When setting up your team as users to your new Gifted site, the level of access they have is completely down to you and what you think they'd need to be able to do/see.
Some of your team may need more access than others. To add a role to a user:
Click Users in the menu on the left-hand side of Gifted
Find the user that you have already created, using the filters if required.
Click Edit next to the user
Click the Roles tab and select any of the roles that your user needs
Below is a full breakdown of all the user roles and permissions that can be given to a user.
Hotel Comp Manager
This role is for the creation and issuing of any complementary orders and amending of any price (i.e if you want to take off the price of your packaging for instance). No member of staff will be able to issue these or make amends without this permission enabled.
Hotel Extension Manager
Sometimes you'll wish to extend a voucher for a guest, perhaps due to limited availability in your hotel/restaurant or just to go above and beyond and give great customer service. This permission enables you to change the validity period of a particular voucher, both the start and end dates, simply by clicking on the date and using the mini calendar to make the necessary changes. This can be done at any stage, regardless of the voucher status, so even if you forget and it expires, you'll still be able to update it/extend it etc.
Hotel Finance Manager
This role is best suited for the person who needs visibility of your finances within your Stripe account. They will be able to view and click on the stripe fingerprint within each order and be able to cross-reference as well as see more information for that particular purchase.
Hotel Refund Manager
This role is for any refunds that need to be issued by you.
Fulfilment Manager
This role is for when you either want to see your inventory or perhaps if you are fulfilling your own postal orders and therefore need full visibility of your postal orders, which ones you’ll need to dispatch and allow you to update the dispatching process as well as re-dispatch any items in the future.
Hotel Content Manager
This role gives access to the ‘Content’ module within Gifted (which includes the ability for the user to create content and testimonials). This is for those in the team who need to create additional pages of content to provide potential customers with more information and also encourage potential customers to purchase vouchers by adding positive reviews and experiences to the voucher pages. We recommend that someone like the Marketing Manager has access to this.
Hotel Invoices Manager
This role gives access to the ‘Documents’ module within Gifted. This area is where you’ll find all your transfer documents, which show a full breakdown of what has been transferred from your Stripe account to your bank account. These documents only contain orders that accrued fees via the Gifted payment gateway. They can be downloaded as either CSV or PDF files and include a breakdown including sales value, gateway fees, postage and fulfilment too. We recommend that your accounts team have access to this.
Hotels Offers Manager
This role gives access to the ‘Offers’ module within Gifted. This module will only be displayed if you have chosen to have this functionality and is a sales tool for when you want to create voucher sales that run for a limited time, that are reduced by a fixed percentage and have custom voucher start and end dates. Ideal for both Marketing managers and Sales managers.
Hotel Order Manager
This role is for everyone who will be customer-facing and needs to be able to create orders for guests. By having this role your teams will be able to create orders, find them at a later stage (to assist guests) as well as redeem vouchers. We recommend that everyone operational has this role, as your FOH teams will be using this each and every day and your reservations team will need to find and update orders too. Depending on how you process redemptions internally, you’ll need to perhaps grant your accounts team access to this role too.
Hotel Report Manager
This role gives access to all the reports within Gifted. The Gifted reports include a ‘customer’ report that can be used to market to your customers as they elected to receive special offers and other marketing messages by email. So you’ll probably want a Marketing Manager to have this role.
The other reports located in this module are ‘Voucher Reports’ and can be run for vouchers sold, redeemed or expired. Within each of these reports, a full breakdown of status etc can be selected. Accountants might want this role so that they can cross-reference with their transfer document and FOH teams might want to be able to run reports to monitor comp vouchers etc too.
Hotel User Manager
This role gives access to the User module within Gifted. Only Gifted can actually set you up with this permission for security reasons, but once you have this permission, you’ll be able to create users. We recommend only a select few individuals on site have the ability to do this, to make sure your site is as secure as possible.
Hotel Voucher Manager
This role gives access to the ‘Voucher’ module within Gifted. This role is not for FOH teams selling vouchers but for the marketing/sales team who need to create an initial voucher to sell on the Gifted site or edit price points/images at a later stage. It's here in this module that you will be able to edit categories, manage your homepage and create tags too.
