Use this guide when you are determining your maximum daily capacity for Spa Day packages. This is a specialist operational task that ensures you do not overbook your physical facilities while maximising your revenue potential through the storefront.
Key Logic:
Time Bands act as "bottleneck controllers". They dictate the flow of guests into your spa at specific intervals. By setting these limits accurately, you ensure the guest experience remains premium by preventing overcrowding while protecting your physical resources.
Audit your physical constraints (e.g., count your total available lockers, relaxation beds, or dining covers).
Decide on your turnover rate. For example, will a locker be used by one person all day, or two people in four-hour shifts?
Ensure you have access to the Premier Configuration/Administrator module.
Before entering data into Premier, you must define your "Locker Rule" or resource limit. This calculation ensures your digital limits reflect your physical reality.
Use the following formula to determine your limit:
Total Daily Capacity = (Available Resource Count) × (Daily Turnover Rate)
For example, if you have 10 lockers and only sell Full Day guests, your capacity is 10. If you sell Half Day guests in two shifts (Morning/Afternoon), your turnover rate is 2, making your capacity 20.
Open the Package Time Bands section within the Premier Configuration/Administrator module. This is where you define the arrival windows for your guests.
Select Band 1 (e.g., Morning Arrival) and enter the specific Start and End times for this arrival window. This organises the flow of guests so they do not all arrive at the same time.
Enter the Booking Limit for each day of the week. This figure represents the total number of guests allowed to arrive within this specific band, including both internal phone-in bookings and online sales.
In the Web Booking Limit field, enter the maximum number of packages allowed to be sold specifically via the storefront.
Important Notice: If the Web Booking Limit is set to 0, the package will show as "No Availability" or be hidden from the website entirely, regardless of what is entered in the general Booking Limit.
Repeat the process for all subsequent bands (e.g., Band 2 for Afternoon, Band 3 for Evening).
Perform a final cross-check: Ensure the sum of all Web Booking Limits across all bands for a single day does not exceed your total physical resource capacity (e.g., your total locker count calculated in Step 1).
Staggered Arrivals: To prevent a queue at the spa reception, stagger your Time Bands (e.g., Band 1 starts at 09:00, Band 2 starts at 10:00). This spreads the "Check-in" load while keeping your locker turnover consistent.
Operational Safeguards: Always keep your Web Booking Limit slightly below your absolute physical capacity. This allows you a small margin of error for "walk-in" guests or local members who may arrive unexpectedly, ensuring you never have to turn a guest away due to lack of a locker.
