How to run a guest report and what data does it contain?

When should I use this?

The Guest Report is your primary tool for building your marketing mailing list. Unlike other reports that contain guest data for operational purposes, this is the only report that filters for guests who have explicitly "Opted-in" to receive marketing communications.

Key Logic:

To comply with GDPR and data protection regulations, you must distinguish between "Transaction Data" (needed to fulfill a booking) and "Marketing Data" (used for promotions). This report automatically isolates the latter, ensuring your marketing team only contacts guests who have given legal consent.


Before you start:

  • 🚨 Data Privacy Warning: Personal details found in other reports (like the Order Report) must not be used for marketing purposes. Only use the data from this Guest Report for promotional campaigns.

  • Ensure you have the necessary permissions to access "Reports" within the platform.


Step-by-step:

1. Access the Reporting Suite

  1. Log in to the Ecommerce platform.

  2. From the left-hand menu, select Reports.

  3. Once on the Reports page, select Guest Report.


2. Generate the Marketing List

  1. Date Range: Enter the specific period you wish to cover (e.g., the last month to capture recent opt-ins).

  2. Click the Generate Report button.

  3. The platform will process the request. Scroll down to the Ready to Download list.

  4. The newly generated report will appear as a link at the bottom of this list. Click the link to download the CSV file.


3. Understanding the Report Fields

The spreadsheet will contain the following specific data points:

  • Customer Title & Name: For personalized greeting in your campaigns.

  • Agreed to Marketing Email / SMS: Boolean fields (True/False) confirming the guest's consent.

  • Marketing Email / SMS: The specific contact details provided for promotional use.

  • Creation Date: When the guest first opted in or created their account.

  • Has Account: Indicates if the guest has registered a full customer account or checked out as a guest.


Best practice:

Sync with your CRM: Export this report regularly (e.g., every Monday) and import it into your email marketing platform (like Mailchimp or Dotdigital). This ensures your marketing database is always up to date with the latest consenting guests.


Important Notice:

Compliance First: Always check the "Agreed to Marketing" columns before importing this data into any third-party marketing tool. If a guest withdraws consent via your storefront, their details will stop appearing in future Guest Reports, but you must ensure they are also removed from your external mailing lists.
