Ecommerce Platform | Guestline | How to create special rate codes

Summary

Special rate codes (also known as Rate Access Codes in Guestline) allow you to restrict certain rate plans so they are only visible when a guest enters a specific code during booking.

Info
In Journey E-Commerce, special rate codes were previously referred to as Rate Access Codes.

Likely Scenario

You have created a rate access code in Guestline to hide a rate plan, but need to configure it within the ecommerce platform so it can be accessed using the special rate code.

Process Overview

  1. Create a rate access code in Guestline
  2. Configure the corresponding rate in the ecommerce platform
  3. Assign the special rate code and update settings
  4. Test the code on the storefront

Step-by-Step Instructions
  1.  Create the rate access code in Guestline
    1. Ensure the rate plan you want to restrict has already been created
    2. Follow Guestline’s guide to create a rate access code: https://help-guestline.theaccessgroup.com/en/articles/13117152-guestline-direct-booking-manager-create-a-rate-access-code-or-promo-code
  2. Log in to the ecommerce platform
    1. Access your ecommerce platform dashboard, locate and edit the rate
    1. Navigate to Rates
    2. Select the rate that should only be accessible via the special rate code
    3. Click Edit
  3. Add the special rate code
    1. Enter the code in the Special Rate Code field (previously labelled promo rate code)

    2. Scroll down and set the Rate Type to Special

    3. Confirm visibility and publish settings
  4. Test the special rate code
    1. Go to the ecommerce storefront
    2. Enter the special rate code during the booking journey

    3. Confirm the restricted rate is displayed correctly
Important Notes

The rate plan must exist before creating a rate access code in Guestline

The special rate code must match exactly between Guestline and the ecommerce platform

  • Visibility should remain Public—the restriction is controlled by the code itself

  • Always test the code after setup to ensure it works as expected
